Dear Ms Patel, Please accept my apologies for the delay before your talk at our community event on Saturday. You arrived at the agreed time, but the room was unavailable for a further forty minutes. As a result, your session had to be shortened, leaving less time for questions from the audience. The problem occurred because our booking record had not been updated after another group changed its schedule. As the event coordinator, I should have confirmed access directly with the venue beforehand. I recognise that the mistake wasted your time and affected a session you had carefully prepared. If you are willing, we would like to arrange a separate question-and-answer session at a time convenient to you. We would also be happy to share any additional material you choose to provide with the attendees. To prevent a recurrence, we have introduced a written confirmation of room access before each event. Thank you for your patience on the day. I am sorry that our arrangements did not meet the standard you were entitled to expect. Yours sincerely, Jamie Lee
